We are looking for an Administrative Assistant to join our team and support our operations in Gulshan-e-Iqbal, Karachi.
Job Summary:
The Administrative Assistant will play a vital role in ensuring the smooth functioning of our office. This position involves providing administrative support to Miss Areba Khan and the broader team, managing office operations, and maintaining a professional and organized work environment. The ideal candidate will be detail-oriented, proactive, and possess excellent communication skills.
Key Responsibilities:
Office Management:
Maintain a clean, organized, and professional office environment.
Manage office supplies inventory and place orders as needed.
Coordinate with vendors and service providers for office maintenance and repairs.
Administrative Support:
Assist Miss Areba Khan with scheduling meetings, appointments, and travel arrangements.
Prepare and distribute correspondence, memos, and reports.
Handle incoming and outgoing mail, including email and physical mail.
Maintain and update filing systems, both electronic and physical.
Communication:
Serve as the first point of contact for visitors and callers, providing excellent customer service.
Relay messages and information to the appropriate team members promptly.
Assist in drafting and proofreading documents, presentations, and other materials.
Team Collaboration:
Support team members with various administrative tasks and projects as needed.
Participate in team meetings and take minutes as required.
Foster a positive and collaborative work environment.
Qualifications:
High school diploma or equivalent; associate or bachelor’s degree preferred.
Proven experience as an administrative assistant or in a similar role.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Strong organizational and time management skills.
Excellent written and verbal communication skills.
Ability to handle confidential information with discretion.
Positive attitude and willingness to learn and adapt.
Preferred Qualifications:
Experience with office management software or tools.
Familiarity with basic accounting or bookkeeping tasks.
Knowledge of digital marketing concepts or tools is a plus.
